Strengths, limits and who it suits, in full
Strengths
- Usage costs are itemised The documentation lists the AI Action cost of each tool, down to the per-page cost of PDF extraction.
- Shows its working The homepage says every answer shows the SQL or Python behind it.
- Refund rule is stated Requests within 30 days of a payment qualify if the account used fewer than 50 billable messages, requests or AI Actions.
- Limits stop instead of billing overages The fair-use policy says Data Flow limits never trigger automatic overage charges.
Limits
- Free is a short trial 10 messages and 25 AI Actions a month, one file per chat, five uploads in total and a 5 MB file cap.
- Free chats are deleted On the free plan, chats, messages and files inactive for more than 60 days are permanently deleted.
- Client sharing needs Business Free dashboard Viewers, per-member row access and embeds start on Business.
- Two separate meters Messages and AI Actions run out independently; Starter's 250 messages cap chat use even with actions left.
- Rename still in progress The privacy policy still tells users to revoke "Formula Bot" in Google and Airtable connected-app settings.
Who it suits
- Agencies reporting from Google Analytics and Search Console Connectors, Projects per client and scheduled Data Flows to Google Sheets are built in on Max and Business.
- People converting PDF statements and invoices PDF to Excel is priced per page in AI Actions, so volume is predictable.
- Former Formula Bot users The brand page says the same account and workflows carry over without migration.
- Not for regular work on the free plan 10 messages a month cover a test, not a weekly report.
- Not for small teams that need SSO SSO and SCIM are on Business only, at $80 per user a month.
How much does Better Analyst cost?
Prices confirmed · checked

Yearly billing is charged once: $168 for Starter, $336 per user for Max and $672 per user for Business. Max and Business are priced per user. Messages and AI Actions are separate allowances: each prompt is one message, while PDF extraction, enrichment and the formula tools use AI Actions. How far does it go?
- Monthly scanned bank statements by planA 5-page scanned statement converted with AI Extract, scanned-document mode and Row QA uses 5 x (10 + 2 + 2) = 70 AI Actions. Starter's 2,500 actions cover 2,500 / 70 = 35 such statements a month, Max 5,000 / 70 = 71 per user and Business 15,000 / 70 = 214 per user. On Starter that is about $20 / 35 = $0.57 a statement on monthly billing, or $14 / 35 = $0.40 on yearly billing. The free plan's 25 actions do not cover one. Editorial arithmetic on published action costs; messages used to ask follow-up questions are counted separately.
Arithmetic from the published allowances above, not a usage test.

Key features
| Feature | What it does | Watch out |
|---|---|---|
| Chat questions about uploaded Excel, CSV, TSV and PDF files or connected sources, answered with a written analysis and chart that shows the SQL or Python behind it (homepage, pricing FAQ) | Table Extract converts a PDF of any size for 5 AI Actions; AI Extract reads selected pages, up to 500 per file, for 10 actions a page, with optional scanned-document mode and Row QA at 2 more actions a page each. | A 5-page AI Extract with both options uses 70 actions, more than the free plan's 25 a month. |
| Connectors for Google Analytics, Search Console, Sheets, Drive, Dropbox, OneDrive, SharePoint, Airtable, Power BI, Tableau, BigQuery, Snowflake, MySQL, PostgreSQL, Supabase and SQL Server (pricing FAQ) | — | |
| Dashboards edited by chat or drag and drop, with brand kits and sharing (homepage) | — | |
| Data Flows that rerun the same cleaning and joins on a schedule and write to Google Sheets or a database (homepage) | A flow pulls fresh data from the source, replays the same cleaning and joins, writes the result to Google Sheets or a warehouse and records what each run delivered. | Row allowances use a rolling 30-day window; at 100% manual runs are rejected and scheduled runs are skipped until usage falls. |
| Alerts on a metric threshold, a sharp change or missing data, delivered by email or Slack (homepage, pricing FAQ) | An alert watches a metric for a threshold, a sharp change or data that stops arriving, and previews how often it would have fired in the last 30, 60 or 90 days. | Checks run weekly on Starter and daily on Max and Business; Slack delivery needs a Max or Business team workspace. |

What changed when Formula Bot became Better Analyst?
formulabot.com now redirects to betteranalyst.com, and the brand update page says Formula Bot is now Better Analyst with the same account and work and no migration needed. The scope has widened: Formula Bot began as help with Excel formulas, while Better Analyst covers connecting and preparing data, enrichment, questions in chat, dashboards, reports and scheduled delivery. The Terms of Service name Datasetmatch LLC as the company behind the service.
The original tools remain. The Formula Generator writes Excel and Google Sheets formulas from a plain-English description or explains a pasted formula step by step, for one AI Action each. The plan documentation lists the Excel and Google Sheets add-ons under Starter, so a free account works in the web app.
What fits in 25 free AI Actions?
Better Analyst counts two things. Each prompt in chat is one message, whether it is a simple question or a complex analysis. AI Actions pay for specialised tools, and the usage documentation prices them: formula generation or explanation 1 action, enrichment 1, 3 or 5 actions depending on whether the table has under 100, up to 1,000 or more rows, PDF Table Extract 5 actions for any size, and AI Extract 10 actions per selected page, plus 2 for scanned-document mode and 2 for Row QA.
Editorial arithmetic: the free plan’s 25 actions cover 25 formulas, five Table Extracts, or two pages of AI Extract, but not a 5-page AI Extract, which costs 50. Free also allows one file per chat, five uploads in total, files up to 5 MB and a 5-minute limit on each code run, so a test file should be small.
Is the first-month discount or yearly billing cheaper?
On the pricing page, the “Save 50%” label sits on the monthly toggle, where every card shows a half-price first month. Editorial arithmetic for Starter over a year: monthly billing costs $10 + 11 x $20 = $230, yearly billing $168, which is $62 less. Against twelve regular months ($240), yearly saves $72, or 30%. The same 30% applies to Max ($336 against $480 per user) and Business ($672 against $960 per user).
Yearly billing is charged once, so the refund rule matters before choosing it: a refund needs a request within 30 days of the payment and fewer than 50 billable uses since then. A yearly plan that is used for a few weeks will usually be past that threshold.
What happens when a Data Flow reaches its limit?
Data Flows have row allowances, and the Fair-Use Policy explains how they behave. Rows are counted as returned by the source, before filters and joins, once per successful run; retries do not count twice, and usage falls out of a rolling 30-day window rather than resetting on a set day. Workspace owners see warnings at 70% and 90%.
At 100%, new manual runs are rejected with the time when capacity frees up, and scheduled runs are skipped until usage falls, then resume. A run that would exceed its ceiling fails before writing, so a destination sheet is never partly replaced. There are no automatic overage charges, but connector, source API and spreadsheet cell limits can impose lower limits than the plan.
How long are chats, files and connections kept?
Section 10 of the terms sets retention by plan. On the free plan, chats, messages and uploaded files inactive for more than 60 days are deleted permanently. On paid plans, data is kept for as long as the subscription is active, and the subscription guide says data is kept for 30 days after a cancelled plan expires. Connection credentials stay until you delete them.
The Privacy Policy adds that disconnecting a Google account removes the stored OAuth connection, while existing chats, query logs and reports follow the normal retention rules. Airtable is connected with read-only scopes, and Better Analyst does not modify records or download attachment files.
Which AI providers process your data?
The privacy policy names OpenAI, Google and Anthropic as AI providers. Better Analyst says it does not train its own models on your messages, files or outputs, and that it does not opt in to provider training where a no-training setting is available. Voice dictation audio is sent to OpenAI for transcription and is not saved by Better Analyst. Data is stored on AWS in the US East (Ohio) region.
The security page says analysis code runs in an isolated sandbox for each chat and that connection credentials are encrypted at rest. Owners and admins can limit which tables, columns and rows the AI reads; per-member row access, SSO, SCIM and an exportable audit log are Business features.
How could you check Better Analyst before paying?
Proposed evaluation · not performed yet
Use the free allowance on one small file and one PDF to see whether the answers can be checked.
- Prepare a CSV under 5 MB with a year of monthly sales for three products and calculate the yearly totals yourself.
- Upload it and ask for revenue by product with a chart; open the SQL or Python shown with the answer.
- Compare each total with your own figures and note how many of the 10 monthly messages the follow-ups used.
- Run Table Extract on a one-page sample invoice (5 AI Actions) and count the rows and amounts against the PDF.
- Ask the Formula Generator for one SUMIFS formula and test it in your own spreadsheet.
Accept if the totals match the shown code and the extracted rows match the PDF. Reject if figures differ without explanation or the messages run out before the check is complete. No result is recorded here.

Frequently asked questions
Does my old Formula Bot account still work?
Yes. The brand update page says Formula Bot is now Better Analyst with the same account, the same work and no migration needed, and formulabot.com redirects to the new site. Google and Airtable connected-app settings may still list the app as Formula Bot; the privacy policy tells users to revoke access under that name.
Can I get a refund after trying a paid plan?
Sometimes. A refund for a monthly or annual plan needs a request within 30 calendar days of the latest payment, and the account must have used fewer than 50 billable messages, requests or AI Actions since then. Duplicate charges, billing errors, migration issues and persistent platform defects can also qualify. Requests go to hello@betteranalyst.com from the account email.
Can clients see a dashboard without paying for a seat?
On Business, yes. The pricing FAQ says Viewers open a team's dashboards for free, and per-member rules decide which rows each viewer sees. White-label embeds are also Business-only: the first embed includes 3 free embed users, then $10 a month per user, while Starter and Max include no embeds.
Who operates Better Analyst, and which law applies?
Datasetmatch LLC. Its terms are governed by Florida law, with courts in Orange County, Florida, unless other law requires otherwise. Users must be at least 13, and those under 18 need a parent or guardian's permission. Payments are processed by Stripe, and pricing, renewal and cancellation terms are shown at checkout or in account settings.
