AI tools for drafting customer support replies

Draft a reply from an approved policy, show the evidence behind it and escalate missing information. Compare five assistants for human-reviewed support writing, not autonomous ticket resolution.

Gemini Notebook, ChatGPT, Claude and 2 more

Which tool fits, in short?

Use Gemini Notebook if the reply must follow one approved policy with passage citations. ChatGPT fits when you paste the policy and an anonymized ticket and want a reply plus an internal note. Claude suits repeated questions, since a project keeps the policy fixed. Copy.ai and Jasper fit teams that already store brand voice and approved text there. A human still reviews before sending.

This is a source-led shortlist, not a performance ranking. Open each profile for the provider source, check dates and plan conditions.

How each option fits drafting customer support replies

Each note comes from the tool's source-checked profile. The condition line is what to confirm before you rely on it for this task.

  1. Gemini Notebook

Gemini Notebook answers questions from selected sources and links its answer to passages. Use a notebook containing only the active support policy to find the rule before drafting the customer reply.

Check first: Source citations help an agent inspect the answer; they do not verify the customer account or authorize a refund. Standard access is free within its limits; this exercise needs only one short policy.

  2. ChatGPT

Paste the policy and the anonymized ticket together, or organize them with instructions in a project. Request a customer-facing reply plus a separate internal note showing the rule and unresolved facts.

Check first: Free supports writing and limited file work; project availability and limits depend on the plan and workspace. The exercise works with pasted text and requires no paid connector or outbound email action.

  3. Claude

A project can retain a policy document and response instructions, while the conversation revises individual replies. This fits repeated questions whose wording changes but whose approved policy remains fixed.

Check first: Projects include a Free route with usage limits. A generated passage reference must be checked manually; ordinary chat access does not prove integration with your ticket queue or customer records.

  4. Copy.ai

Infobase holds approved text for reuse in Chat, where an agent references the policy and selects an established Brand Voice. The reply remains editable before being copied to a support system.

Check first: Copy.ai has no ongoing free plan in the current profile. Use Chat access on your subscribed plan; workflow credits and automated sending are separate requirements. Infobase assets belong to their Teamspace.

  5. Jasper

Jasper documents customer-email drafting and a Knowledge Base for company context. It is useful for teams already using its brand instructions to turn an approved answer into consistent customer-facing wording.

Check first: Use the writing access and knowledge assets included in your actual account; this exercise can paste the policy instead of requiring a specialized Agent. A trial or paid subscription is needed, and plan access must be checked before starting.

Considered but not listed

  • Perplexity: Web discovery can help an agent research public product documentation, but this exercise must answer from one supplied internal policy. Extra web sources add no needed evidence to the refund decision.

What to compare for this task

These questions keep the shortlist tied to the work instead of turning it into a generic feature list.

Policy selection

Can the agent restrict the task to the current approved policy and identify its version?

Answer traceability

Can every promised action be tied to a policy clause or an explicitly confirmed account fact?

Uncertainty handling

Does a missing order fact produce a clarification or escalation instead of an invented decision?

Agent handoff

Can the reviewer separate the reply from internal notes and send only after approval?

One fixed task to compare them

Proposed evaluation, not performed: run the same input through two or three shortlisted tools and judge each against the same acceptance line. We have not run it; results depend on your plan and account.

Sample input

Fictional policy R-2: an unused subscription may be refunded within 14 days of purchase; after any usage, a supervisor must review the request; never promise a payment date before approval. Ticket A: bought 10 days ago, no usage. Ticket B: bought 10 days ago, used the service. Ticket C: purchase date and usage unknown. Use no real names, account IDs or payment details.

Steps

  1. Record the tool, plan and policy version. Paste the exact policy and three tickets, or load the policy as the sole selected knowledge source.
  2. Ask for each ticket: reply under 90 words, applicable clause, missing facts and next owner. Instruct the model not to add policies, verify an account or claim an action has already happened.
  3. Check the decision table: A may request refund processing subject to account verification; B needs supervisor review; C needs purchase date and usage information.
  4. Change the policy window from 14 to 7 days, update the selected source and repeat only Ticket A. It must no longer receive the within-window recommendation.
  5. Save a reviewer worksheet with ticket, policy version, clause, proposed action, missing facts and approval. Copy only an approved reply; do not connect a sending or refund tool for this exercise.
Passes if
All three tickets follow policy R-2, uncertain facts stay explicit, the changed policy changes Ticket A, and no reply claims a completed refund or a guaranteed payment date. The reviewer can trace each action to the selected policy.
Fails if
The draft invents eligibility, mixes policy versions, exposes internal notes to the customer, sends without review, or treats an AI answer as proof that money has been refunded.

Questions about drafting customer support replies with AI

How is AI used in customer support?

In this guide, AI works as a writing assistant: it reads an approved policy and an anonymized ticket, then drafts a customer reply, names the applicable clause and lists the missing facts. A person still reviews before anything is sent. The exercise does not use these tools to verify accounts, issue refunds or resolve tickets on their own.

Can I use AI for customer support replies for free?

Partly. ChatGPT and Claude both have Free routes with usage limits, and Gemini Notebook standard access is free within its limits, which is enough for the short policy exercise. Copy.ai has no ongoing free plan in the current profile, and Jasper needs a trial or paid subscription. Check your plan before using real customer records.

What if the customer asks for an exception?

Route the exception to the person who owns that policy. A writing assistant can summarize the request and collect the relevant facts, but a persuasive customer message does not change eligibility. Keep the requested exception separate from the standard rule and record the approver before promising an outcome.

Can I upload real support tickets for this exercise?

Use the fictional examples first. Before moving to real records, your team should approve the account, data handling and retention settings for that purpose. Remove unnecessary identifiers and payment information. Access to a free chat account alone does not establish permission to upload customer conversations or confidential account records.

How should multilingual replies be reviewed?

Keep the policy decision fixed while translating the wording. Have a reviewer who understands the target language check deadlines, qualifications and commitments, especially words such as eligible, approved and processed. Save the source-language decision with the translated reply so the next agent can understand what was actually authorized.
