Count the successful action steps your Zaps will run in a month, then pick the smallest plan whose task tier covers that number with room to spare. Triggers do not count, so a two-step Zap uses one task per run.

If your volume sits between tiers, the pricing page offers higher task tiers at higher prices on both paid plans. Paying yearly lowers the monthly equivalent by about a third.

A task is any successful action. Each action step uses 1 task per successful run, including steps in an error handler path and steps that rerun when you replay a whole Zap run. Search actions use 1 task only when they are set to continue if nothing is found.

• Free of tasks: triggers, Filter and Paths steps, actions that error or halt, steps that never run, Tables and Forms steps, and Formatter, Delay, Looping, Digest and Storage steps.
• More than one task: AI by Zapier steps use 1, 3 or 5 tasks depending on the model tier, Zapier MCP uses 2 per successful tool call, and Lead Router uses 5 per lead routed.
• Separate quota: Zapier Agents run on their own activity quota rather than tasks.

Zapier connects web apps so that an event in one triggers an action in another: a form response creating a spreadsheet row, a payment creating a task, an alert reaching the right channel. AI steps can classify, summarize or draft text inside the same workflow.

The catalog size matters less than whether the specific trigger, action and fields your process depends on are available in the apps you use. Two tools can both list an app and still differ on the one field you need, so open the app’s Zapier integration page before committing.

Zap history logs every run with its status, and unsuccessful runs can be replayed from there. Paid plans add automatic replay of errored actions and versions, so you can roll a Zap back to an earlier build.
